You have read this book, you understand the rules, and now it is time to act. Your first ninety days of self-employment set your habits for the years ahead. Those who start organized stay organized, and those who start messy pay for it in April. This checklist is ordered step by step: what to do each week of the first month, then what to do in months two and three. Print it, and check off every item you finish.
Week 1: The legal and financial foundation
Get an Employer Identification Number (EIN). It is free, and it takes minutes on the IRS website. Even if you operate under your own name and never plan to hire, the number separates your business identity from your Social Security number, and many clients and banks ask for it. Never pay a website for it, it is free directly from the source.
Open a separate business bank account. This is the single most important financial step on your whole list. All income goes into this account, and every business expense comes out of it. Never mix business money with personal money, because mixing is the root of most tax and accounting problems. When your accountant or the IRS asks about an expense, the answer should be in the business bank statement.
Choose a bookkeeping method and stick with it. You do not need complicated software at the start. A simple spreadsheet or a small accounting app is enough, what matters is recording every dollar of income and every expense as it happens. The rule: if it was not recorded, it did not happen. Start on day one, and do not say “I will record it later,” because later never comes.
Photograph every receipt. Every business expense needs proof. Snap a picture with your phone and save it in an organized folder, paper or digital. The receipt you throw away today is the deduction you lose tomorrow.
Week 2: The tracking system and the calendar
Set up your mileage log. If you use your car for business, you need a log with the date, the miles, and the business purpose of each trip. A phone app does the job automatically, or a small notebook in the car. The IRS specifically asks for this log when reviewing a vehicle deduction, and reconstructing it from memory at year end is not accepted.
Put the quarterly tax dates in your calendar with reminders. Estimated taxes are paid four times a year, and the dates are roughly fixed: mid-April, June, September, and January. Set a reminder two weeks before each date. The April tax surprise happens to those who forget, it is not fate.
Organize your digital files. Create a main folder for the business, with subfolders for invoices, receipts, contracts, and taxes. Five minutes of organizing now saves you hours of searching later. An organized business also looks professional to clients.
Month 1, Week 3: The first payment and protection
Figure out whether you need to pay estimated taxes. The general rule: if you expect to owe $1,000 or more when you file, you should pay quarterly. Make a rough estimate of your annual income, and set aside a share of it for each payment. The form used is 1040-ES, and you can pay electronically. If you missed the first deadline, pay what you can now and do not wait for the next one, because penalties accrue on lateness.
Review your insurance. First health insurance: do you have coverage? If not, start shopping on the Marketplace right away, as we explained in the health insurance chapter. Second, professional liability insurance if your work takes you into clients’ homes or involves advice you could be sued over. Third, insurance on the business itself if you own expensive equipment. Insurance is not a wasted expense, it is part of the real cost of doing business.
Review your prices. Ask yourself honestly: do your prices actually cover your taxes? Many new freelancers set prices based on what they earned as employees, forgetting that the employer paid half the employment tax plus health insurance plus paid leave. Compute your true cost, add your profit margin, then set the price. The client who will not pay a fair price is not your client.
Week 4: Retirement and professionals
Open the retirement account. Choose between the SEP IRA and the Solo 401(k) as we explained in the retirement chapter, and actually open the account, not just in theory. Even a small contribution in year one beats nothing, because the habit matters more than the amount. Set up an automatic monthly transfer if you can, because automation beats forgetfulness.
Find a tax professional. Do not wait until March to discover you need an accountant. Look now for a CPA or Enrolled Agent who understands freelancers, meet them, and ask about their fees and how they work. A good relationship with a tax professional is one of the best investments in your business, and it is who will save you when things get complicated.
Check local licenses. Some cities and states require a business license or a trade-name registration. Check your city and state websites, because the fine for operating without a license costs far more than the license fee itself.
Month 2: Building the habit
Give bookkeeping a fixed weekly appointment. Thirty minutes every week to record income and expenses and review the bank account. Those who do this weekly never fall behind. Those who postpone it to year end spend weeks gathering papers and forget half their expenses.
Pay the second quarterly installment on time. You will find it easier the second time because the system is ready. If your income changed a lot, up or down, adjust the payment amount. Estimated payments are not fixed, they follow your actual income.
Check the mileage log. Are you still logging every trip? If you stopped, restart the habit now before whole months of deductions slip away.
Month 3: Review and planning
Do a mini quarterly review. Look at your income and expenses for the first three months and ask: am I on the right track? Is the amount I am setting aside for taxes enough? Are there expenses I can cut? This simple review is the difference between a business owner who manages the numbers and one who is surprised by them.
Make sure retirement contributions are on track. If you planned a certain annual amount, figure what you have put in so far and what remains. Adjusting the plan is fine, forgetting it is not.
Evaluate your relationship with your tax professional. Do they answer your questions? Do they understand your kind of work? If the answer is no, now is the time to change, not during tax season.
If you stumble: the comeback plan
Let us be realistic: life happens. You get sick, or work gets busy, or you forget, and you find yourself two months behind on recording expenses and you missed the quarterly payment. Do not panic and do not give up, stumbling is not failure, stopping is.
Dedicate one weekend to catching up. Gather the bank statements, photograph the receipts on your phone, pull the invoice emails from your inbox, and record everything in one go. You will be amazed how much you can finish in two focused days.
If you missed a tax payment, pay now even if late. Penalties are computed on the length of the delay, so every extra week of delay costs you money. And if the amount owed is large and you cannot pay it all at once, the IRS offers installment payment plans you can apply for online. The important thing: file the return on time even if you cannot pay in full, the penalty for not filing is far harsher than the penalty for not paying.
Then talk to your tax professional honestly. Tell them what happened, and ask about the best way to fix things. Professionals see these cases every week, and they will not judge you. The system punishes silence more than it punishes delay, and whoever gets back on track is rewarded with peaceful sleep.
A final word in Jamal’s voice
You are the business now. Nobody will withhold your taxes from a paycheck, nobody will set up your retirement, nobody will organize your papers. That is a big responsibility, but it is also a big freedom. The American tax system rewards the organized: those who record everything, pay on time, plan for retirement, and ask professionals when needed pay less, worry less, and sleep better.
Start today, not tomorrow. Open the bank account, record the first expense, set the first calendar reminder. Small steady steps build a big business. And you can do it, because you made it here: you read, you understood, and now you act. Good luck on your journey, and always remember: we do not want to scam anyone, we want to build a clean business that lasts.
