Chapter 3 — Online Bookkeeping & Tax Preparation

1. What it is

Every business, from a corner restaurant to a freelancer selling on Etsy, has the same problem: money comes in and goes out, and somebody has to keep track of it. Bookkeeping is that tracking — recording transactions, reconciling bank and credit-card statements, sending invoices, following up on unpaid bills, categorizing expenses, and producing a simple monthly profit-and-loss report. It is recurring, deadline-driven work, and businesses pay for it every single month.

Tax preparation is its seasonal cousin. From January through April, millions of individuals and small businesses need their federal and state returns prepared and filed. Many preparers also work year-round on quarterly estimated payments, extensions, amendments, and — very commonly — cleaning up a client’s messy books before the return can even be filed. In practice, bookkeeping and tax prep feed each other: the bookkeeping client becomes the tax client, and the tax client needs bookkeeping next year.

Both jobs can be done 100% remotely with a laptop and an internet connection. You are typically paid in one of two ways: a flat monthly fee per bookkeeping client, or a per-return fee for tax preparation.

This is a field I know from the inside — I run a tax and bookkeeping consultancy, I’ve filed well over a hundred client returns, and I’ve worked as a seasonal tax professional at a major national firm. Everything in this chapter is the way it actually works, not the way a course seller describes it.

2. Startup cost

Realistic range: $50–$300 to start.

The essentials are cheap:

  • A PTIN (Preparer Tax Identification Number) from the IRS — legally required for anyone who prepares federal tax returns for pay. The fee is modest (around $20; confirm the current amount at irs.gov). No PTIN, no paid tax prep. It’s that simple.
  • QuickBooks Online Accountant and Xero’s partner program — both free to join for professionals, and they include practice-management tools plus client subscriptions at partner pricing. The accounting platforms make their money from your clients’ subscriptions, so the professional tools cost you nothing.
  • Optionally: a domain name and a simple one-page website ($15–$25/year), and business registration, which varies by state (often $50–$150).

No office needed: a laptop, an internet connection, and a PTIN genuinely get you in the game.

3. Skills needed

  • Real accounting fundamentals: debits and credits, bank reconciliations, accounts receivable and payable, and reading a profit-and-loss statement. Be honest with yourself here — if you cannot reconcile a messy bank feed, you are not ready to charge for it.
  • Software fluency: QuickBooks Online first — it dominates the US small-business market — and Xero second. The single most useful zero-cost credential in this business is the free QuickBooks ProAdvisor certification: it teaches you the software properly and gives you a badge that clients recognize and trust.
  • Tax basics: filing statuses, standard vs. itemized deductions, Schedule C for the self-employed, and the common credits (Earned Income Credit, Child Tax Credit). The IRS Annual Filing Season Program is a voluntary ~18-hour course ending in a Record of Completion — a credible, honest signal to clients that you’ve done the work. It is not a license, and don’t present it as one, but it meaningfully separates you from someone who just downloaded tax software yesterday.
  • Client skills: explaining money in plain language, answering messages promptly, and iron deadline discipline. Clients forgive a lot; they never forgive a missed tax deadline.

Now the credential question, answered honestly. Bookkeeping requires no license anywhere in the United States. Clients pay for skill and trust, not letters after your name. Tax preparation requires a PTIN, not a CPA. A CPA or an Enrolled Agent (EA) matters when you need to represent a client before the IRS, and those credentials command higher fees — but they are not the gate to getting started. Never imply you’re a CPA if you’re not: one dishonest claim about your credentials will cost you every client you have.

4. Time to first dollar

Typically 1–3 months. Here is the honest shape of it: your first client almost always comes from your existing network — a restaurant owner you know, a friend’s contracting business, a local shop doing its books in a shoebox. Cold outreach works, but slowly; trust-based services don’t sell well to strangers.

Tax season compresses the timeline. From January through April, established firms hire seasonal preparers quickly, and that is the fastest route to a first paid return if you don’t have your own clients yet.

5. Honest monthly range

  • Part-time bookkeeping: typically $500–$3,000/month. The math is simple and honest: 5–10 small-business clients at $100–$400/month each, depending on transaction volume and complexity. Getting the clients is the hard part; keeping them is easy, because nobody switches bookkeepers lightly.
  • Tax preparation is seasonal, not monthly: an independent preparer completing 100–200 returns in a season might net something like $5,000–$15,000 across the season, concentrated in February through April, varying widely by market and pricing.
  • Full-time practitioners vary widely: $3,000–$8,000+/month is plausible for an established solo practice with a solid client base.

The bottleneck in this business is never skill — it’s client acquisition. Anyone quoting you five figures in your first month is selling you a course, not describing a career. And remember: bookkeeping income is beautifully boring, which is exactly what makes it reliable.

6. Who it’s for

  • People with an accounting or bookkeeping background who want steady, recurring client work instead of chasing one-off gigs.
  • People who are organized, detail-oriented, comfortable with routine, and able to explain money matters to non-accountants without jargon.
  • Immigrants, genuinely: small businesses in your own community often prefer working with someone who speaks their language and understands their reality. A Moroccan restaurant owner, a Latino contractor, a Middle Eastern grocer — they trust the bookkeeper who can explain a tax notice in their own language. That is a real, unfair-in-your-favor advantage. Use it.
  • People who want work that can’t be fully automated away. Software keeps getting better at categorizing transactions, but clients still need a human who answers the phone, spots the problem, and explains what the numbers mean.

7. Your first 3 steps

  1. Get the credentials that are free and actually matter. Complete the QuickBooks ProAdvisor certification, finish the IRS Annual Filing Season Program, and get your PTIN. Total cost: roughly the PTIN fee. You are now legitimately marketable — no exaggeration required.
  2. Land 2–3 starter clients from your warm network. Offer one month of bookkeeping free or discounted to a local business you already know, then convert it to a paid monthly fee. Simultaneously, list bookkeeping or tax-prep services on Upwork with your new certifications in the profile. Ask every satisfied client for a referral — referrals are the engine of this business.
  3. Systematize before you scale. Build a standard monthly close checklist, an engagement-letter template, and a clear pricing sheet. You cannot raise prices on disorganized work; on documented, reliable work, price increases are expected and accepted. The difference between a $1,000/month side income and a real practice is almost entirely systems and referrals — both of which you build yourself, for free.
